POLICIES AND PROCEDURES
AT CAPACITY REGISTRATION
In the event that a class fills quickly, the ASP Coordinator will attempt to get another session open on another day. Unfortunately, due to calendar and room availability, this may not always be possible. Therefore, set your reminders now and make sure you are a current PTO member (paid membership). This is an annual requirement.
The Cut-off date to become a PTO member is 11:59pm ET Friday, September 6, 2024.
Getting to the Activity
- Students will go right to their ASP class at the end of the school day
- Rosters: Each classroom teacher will have a roster of students attending ASP classes to point them to their ASP classroom after the school day.
- K-1st grade students attending ASP will be escorted
- Grades 2-5 students will walk independently to their ASP classroom
ASP Class Dismissal Procedures
- Please pickup your child promptly at 3:30PM. LOV PTO ASP offers a 15 minute grace period. Failure to pick your child on time will result in a $10 late fee. The late fee must be paid in full prior to your child’s next class. Payments may be made through (LOVPTO.org – Venmo; PayPal)
- A schedule will be emailed to all parents to notify them of the dismal doors their child will be picked up at prior to October 7th.
- Authorized adults to pick-up students were identified during the registration process. Please email the ASP Instructor(s) and copy the LOV PTO ASP Coordinator as well if you need to make a change for a specific day.
- Sign-out Process: A parent/guardian MUST come up to the school to sign-out ASP student(s). Student(s) will not be allowed to wait outside to be picked up.
- PARENTS/GUARDIANS MUST SHOW AN ID THE FIRST 2 WEEKS OR UNTIL THE TEACHER RECOGNIZES THE PARENT/GUARDIAN.
ASP DISMISSAL PROCEDURES — NEW THIS YEAR:

- Enter Door #1
- Line up along the wall of the gym in a single file line.
- BE READY TO SHOW YOUR ID.
- Give the ASP On-Site Coordinator the name of your child. The ASP On-Site Coordinator will release your child after confirming your ID and you sign the exit form.
- Once you sign the form, please take your student(s) to the right to EXIT out of Door #2.
- PLEASE USE THE CORRECT DOORS IN ORDER TO PREVENT A BOTTLENECK DELAY during dismissal.
REFUNDS
- Refunds (less a 10% processing fee) will be accepted 7 days prior to the start of the class and can only be given if there is someone on the wait list who can attend the class. There will be no refund if a child is disenrolled at any point once classes begin.
- If a class must be cancelled due to low enrollment, you will receive a refund from the PTA. You will be notified once the refund has been processed.
- Refunds WILL NOT BE GIVEN if your child is removed from the ASP due to violation of the policies or LCPS Code of Conduct.
ASP POLICIES
PLEASE REVIEW THE ASP POLICIES AND LCPS CODE OF CONDUCT WITH YOUR CHILD.
ASP is an extension of the school and therefore LCPS Code of Conduct and other rules and regulations apply during this time as well. Failure to comply with any of the policies will result in immediate removal from the LOV ASP. Refunds will not be given in these situations.
- Low Enrollment Cancellation: I understand that if the class I enroll in is cancelled due to low enrollment, I will receive a 100% refund, or have the option for 24 hours only to be placed in another class (at no additional cost).
- Due to the schedule this session, there are NO makeup days under any circumstances.
- I understand the LOV PTO ASP Behavior Policy:
- Cooperative behavior makes the after school programs fun and safe for all. If a student is seriously disruptive or unsafe during class, the ASP Instructor has the right to remove the student from the class. The first time a warning will be issued and parents are notified. The second time, the student will be removed from the program without a refund. By checking this box, [enter checkbox] I have confirmed that my student is motivated to take the registered ASP class(es) in order to create a good experience for all involved and will abide by the LCPS Code of Conduct and the ASP Policies contained herein.
HEALTH CONCERNS
Nurse: As a reminder, this is a PTO sponsored event and a nurse WILL NOT BE ON SITE DURING THE ASP CLASS PERIOD. If there is a medical emergency, the parent will be contacted and 911 will be called if necessary.
